Events & Listings Policy

Regional Report Media Ltd., publisher of RegionalReport.co.uk, is a private limited company registered in England and Wales (company number 17143892) with its registered office at 3 New Bailey Street, 5th Floor, Manchester M3 5FS, United Kingdom. This Events & Listings Policy is overseen by Sophie Kendall, Culture & Communities Editor, who is responsible for community stories, arts, culture, festivals, local events, heritage and voluntary organisations. All events and listings submitted to the publication are handled in accordance with this policy to ensure fairness, accuracy and transparency for readers, organisers and commercial partners alike.

Submitting an event

Event organisers, community groups, local authorities and cultural institutions are invited to submit details of upcoming events for editorial consideration. Submissions must be sent to events@regionalreport.co.uk. The subject line should clearly indicate the event name and date. We aim to respond to submissions within five working days, but due to volume, not all submissions can be acknowledged individually.

What we require

To ensure that listings are accurate and useful for our readers, please include the following information in your submission:

  • Event name – the official title of the event, as it should appear in the listing.
  • Venue – the full name of the hosting venue or location.
  • Address – complete street address, including town/city and postcode.
  • Date and time – specific dates and start/end times; please note any recurring dates or cancellation policies.
  • Tickets – pricing information, booking links or instructions for free entry.
  • Accessibility – details of wheelchair access, hearing loops, BSL interpretation, quiet spaces, or other accessibility provisions.
  • Description – a concise, factual overview of the event (150–200 words).
  • Images – high-resolution photographs (min 1200px wide) in JPEG or PNG format, with accurate alt text and credit lines. Do not submit copyrighted images without permission.
  • Organiser contact – a named contact person, email address and phone number for editorial follow-up.
  • Commercial disclosure – if the event is sponsored, ticketed via a commercial partner, or involves any paid promotion, this must be stated clearly in the submission.

Submissions that omit any of the above may be delayed or declined. We reserve the right to edit descriptions for length, clarity and style, consistent with our Editorial Policy.

Editorial discretion and selection

Submission of an event does not guarantee that it will be listed on RegionalReport.co.uk. All events are reviewed by the editorial team against criteria including local relevance, public interest, regional balance, timeliness and compliance with our editorial standards. We prioritise events that are open to the public, free or low-cost, and that serve communities across England, Scotland, Wales and Northern Ireland. Events that are purely commercial, political party fundraisers or that promote unlawful activity will not be accepted. We do not publish listings for events that have not been confirmed by the organisers or that lack verifiable contact information.

Paid placements and sponsored listings

Paid event placements, sponsored listings and enhanced visibility options are available. These are managed separately through our commercial team and are clearly labelled as “sponsored” or “promoted” to distinguish them from editorial content. Sponsored listings are subject to the same factual accuracy and disclosure requirements as editorial submissions. No payment influences editorial decisions on non-sponsored content. Transparency and disclosure

We are committed to transparency in all publishing activities. Any event listing that involves a commercial relationship, affiliate commission or direct payment will carry a clear disclosure notice. In line with our Privacy Policy, personal data submitted as part of an event listing will only be used for editorial vetting and will not be shared with third parties without consent.

Our commitments

  • We will assess every genuine event submission on its regional relevance, accuracy and public interest within five working days.
  • We will clearly label all paid or sponsored listings and never allow commercial considerations to affect editorial selections.
  • We will require and verify accessibility information for every listing to support inclusive access for all readers.
  • We will correct promptly any factual errors in published event listings, in accordance with our Corrections Policy.
  • We will maintain a clear, auditable record of all submissions and decisions, ensuring accountability to both organisers and our audience.
